Reputation Management
Bad reviews cost local businesses customers every day. Here's what we do about it.
Pricing is confirmed at onboarding based on your review volume.
A simple, hands-off system that consistently brings in genuine reviews from your customers.
Unhappy customers are encouraged to speak to you privately first.
Every review gets a professional, timely response, written and posted by us. Anything sensitive is checked with you first.
A clear monthly summary of your rating, your Google results, and how you compare to your nearest competitor.
One person manages your account. Call or message them directly.
Every month you receive a clear summary of your Google rating, how many calls and direction requests came from your listing, and how your reviews are growing. We track your nearest competitor's rating and review count each month so you can see how you compare over time. Your report arrives on the same date every month, without you having to ask for it.
It takes years to build your business's reputation. It only takes a moment to damage it.
Google's own guidance is clear on this: local results are based primarily on relevance, distance, and prominence โ and Google specifically says "more reviews and positive ratings can help your business's local ranking"[1].
"Local ranking" means how prominently your business appears in Google's local results โ on Google Search and Google Maps โ when nearby customers search for something like "barber near me" or "hair salon Leeds."
Four important areas of review management we focus on to build that profile:
These four areas are widely used in review-management best practice. Google confirms that more reviews and positive ratings can help your local ranking.
One bad week of reviews. That's all it takes to undo years of good work.
Want the full breakdown, with the actual maths behind how a handful of reviews can swing your rating? Tap below โ no download, no jargon:
Your Google rating directly influences whether customers choose you or your competitor. Small rating changes can mean measurable revenue gains or losses. The fewer reviews you have, the easier it is for a small number of bad reviews to move your rating significantly.
| Scenario | Total Reviews | Resulting Rating |
|---|---|---|
| Starting point | 50 reviews at 4.5 | 4.50 |
| + 3 one-star reviews | 53 reviews | 4.30 |
| + 10 one-star reviews | 60 reviews | 3.92 |
| Scenario | Total Reviews | Resulting Rating |
|---|---|---|
| Starting point | 500 reviews at 4.5 | 4.50 |
| + 3 one-star reviews | 503 reviews | 4.48 |
| + 10 one-star reviews | 510 reviews | 4.43 |
This system transforms a fragile and volatile reputation into one that is stable, protected, commercially powerful and consistently attractive to new customers.
Try the maths yourself โ see exactly how new reviews move your rating, and how many reviews it takes to hit a target score.
Ratings are entered to one decimal place (e.g. 4.7), matching what Google actually shows publicly on your profile.
Fill in all four fields below to see what happens to your rating. Or, leave one of "Number Of New Reviews" / "Average Rating Of New Reviews" blank, enter a target in the box below instead, and we'll work out what's needed to get there.
Fill in the fields above and calculate to see your result here.
A handful of mediocre reviews barely dents a business with a deep review base โ but the exact same reviews can be devastating for one that doesn't have that base yet. That resilience isn't automatic. It's built by consistently generating reviews over time, so no single bad one โ or ten โ can swing the average on its own.
A worked example: the minimum number of 3-star reviews it actually takes to visibly move each business's publicly displayed rating on Google (which only ever shows one decimal place).
Starting at a 4.5 rating.
4.5 โ 3.9
Just 9 new 3-star reviews are enough to visibly drop the displayed rating a full point โ straight through the 4โ threshold most consumers won't go below (see the stats above).
Starting at the same 4.5 rating.
4.5 โ 4.4
It takes 6 mediocre reviews to move the displayed rating at all โ and even then, it only ticks down one notch, nowhere near the danger zone.
Google only publishes ratings to one decimal place, so the number shown here is the minimum needed to actually change what a customer sees โ the true internal average moves before that, but nobody sees it until it crosses the rounding line.
This calculator uses the same averaging method Google publishes for how it works out a business's review score โ a straight average of all ratings.[12] Figures are estimates based on the displayed Google rating. Google ratings may be rounded, so actual displayed results can vary.
Customers scan a QR code and are taken to a branded page. Happy customers are guided to leave a public Google review. Unhappy customers are encouraged to speak to you privately first.

See More Below โMore Details Below โ
This is the core of the system โ every other feature exists to protect or amplify what this does.
There are two ways in.
A QR code โ printed on a receipt, business card, table-top, or anywhere that suits the business โ takes the customer straight to the branded feedback page when scanned.
Or, the business owner can collect the customer's phone number or email address on the spot and send them a direct link.
Either way, the customer is in the system in seconds โ and everything that follows is handled for you.
If something isn't right, this gives the customer a direct line to you first, instead of a public review being their only outlet. Whilst customers do remain free to leave a review, the value of this is that you get the chance to hear what happened first and put it right โ before an honest mistake during a busy day becomes a lasting mark on your business's hard-won reputation.
Without a system like this, an unhappy customer usually has one option: posting straight to a public review. Internal Feedback Mechanism gives you the opportunity to resolve a genuine mistake with the customer directly first โ before it ever gets to that point.
Real screenshots of the Internal Feedback Mechanism funnel, start to finish.
Starts the process either from a physical QR code or an online link, whichever suits the moment.
A quick info capture, so every reviewer becomes a lead too, not just a review.
The customer sees a message confirming their details were received, and to look out for an email from you.
The customer receives an email with a hyperlink through to the Smart Review form.
A simple, structured question invites the customer to describe how their visit or service actually went.
If something wasn't right, this gives the customer a direct line to you, instead of a public review being their only outlet. Whilst customers are still free to leave public reviews, you get the chance to hear what actually happened and put it right โ before what could have been an honest mistake becomes a permanent mark on your business's hard-won reputation, which is far easier to damage than it is to build.
Customers who've had a great experience are guided toward leaving a public review on the platform you choose.
The completed review appears live on the platform.
Try it as a customer would. Scan the QR code with your phone, or tap the button to go straight to the rating page.
Set up once and left alone, it slowly decays. It's static โ someone has to keep going back in to refresh it โ and it's slow to reflect what's actually true about your business right now.
Runs continuously in the background. Every new review adds to it, so it compounds over time instead of fading โ reflecting real customer trust in real time, not last year's snapshot.
Most SEO work is a one-time project. It gets set up, then mostly sits there:
The problem: all of this ages. Google increasingly rewards businesses that look active right now, not businesses optimised once, years ago.
Google's own guidance keeps this simple: more reviews and positive ratings can help your local ranking. Industry research goes a layer deeper on what that tends to look like in practice โ the patterns below are drawn from that research, not an official Google formula:
In short: the pattern researchers keep finding is that Google favours businesses that look trusted right now, not ones that were optimised once, years ago.
To be straight about it: reviews are one major lever in the Google Map Pack, not the only one. Industry research (Whitespark's annual Local Search Ranking Factors survey) puts the full picture at roughly:[11]
| Ranking Factor | Approx. Weight |
|---|---|
| Google Business Profile signals (category, proximity, keywords) | ~32% |
| On-page website signals | ~19% |
| Reviews (volume, recency, consistency, engagement) | ~16โ20% |
| Link signals | ~15% |
| Behavioural signals (clicks, calls, dwell time) | ~8% |
| Citation signals (listing consistency) | ~7% |
Reviews sit right behind your Google Business Profile itself as the second-biggest lever โ and unlike proximity or your business category, it's one of the few factors you can actively, continuously improve rather than set once and leave. Worth being clear: this breakdown is for the Map Pack specifically. The ordinary search results below it run on a largely different, more traditional set of signals โ backlinks, site content, domain authority. There's no published figure for how much reviews influence those results, so we don't claim one. For those other pieces (profile setup, on-page SEO, links, citations), see the SEO health tools linked below.
And it's getting more important, not less: review recency specifically has surged from roughly a top-20 local ranking factor in 2023 to a top-5 factor by 2025.[11]
| Traditional SEO | Map Pack Optimization |
|---|---|
| Set up once | Runs continuously |
| Static | Always moving |
| Needs manual upkeep | Runs itself |
| Fades over time | Builds over time |
| Hopes reviews show up | Makes sure they do |
Traditional SEO builds the shop. This keeps the lights on, the doors open, and customers talking about you. Google doesn't just rank businesses โ it ranks signals. This is what keeps the right signals flowing.

It doesn't happen to most businesses, but when it does it can hurt your rating fast. We keep watch so you don't have to, and if something looks wrong you hear from us before anything is done.
It doesn't happen to most businesses โ but it can be a nightmare when it does. Some of the ways it shows up:
Rivals posting fake negative reviews.
One angry customer recruiting friends or followers to pile on.
Scammers demanding money, goods or services in exchange for removing a fake review.
Former employees, rejected applicants, or others with a grudge targeting the business.
Batches of fabricated reviews posted through multiple accounts.
Strangers reviewing a business they've never actually used.
A review meant for a different business, or containing unrelated spam.
Spotting it is only step one. Here's the practical process that actually helps:
A suspicious review reaches us promptly, so you're not finding out weeks later โ or from a customer.
We take a proper look at what's happened. Is this a genuine unhappy customer, or does something about it look off?
We note and screenshot the review, the reviewer's name, and the timing โ useful if it needs reporting later.
If a public reply makes sense, we write a calm, professional one for you to approve first โ readers judge you by how you respond as much as by the review itself.
If a review looks like it breaks Google's rules, we can report it for you once you've given the go-ahead. Reports with real context and evidence tend to be taken more seriously than a vague "this is fake" flag. Google makes the final call on whether a review is removed.
Repeated wording, timing, or reviews appearing at once from different accounts might point to something coordinated โ worth watching for, though we can't prove who's behind it.
Every review gets a professional reply from us, good or bad, so replying to reviews stops being something you never get around to.
Consumers are significantly more likely to choose a business that responds to its reviews.[5]
Replies are written to sound like you, not like a template. Tell us how you like to talk to customers and we match it.
Positive reviews get a genuine thank-you. Negative reviews get a calm, professional response โ the kind that makes other readers trust you more, not less.
No review sits unanswered for days waiting for you to find time.
Positive reviews get a genuine, personal thank-you โ without you having to remember to do it.
Want to see exactly how your replies are handled? Tap below:
Here's how every reply is handled, so you know exactly what to expect.
Replies match how you talk to customers: friendly or formal, short or fuller, "we" or "I".
Reviews touching on refunds, legal issues, admissions of fault, or anything else risky are held back, and we check with you before anything is posted.
Replies are varied so they never all start the same way, and your reviews never look copy-pasted.
No refund promises, no guarantees, no admissions of fault or liability, and no medical or financial advice.
Tell us phrases to always include, or details and language to always avoid, and we'll stick to them.
Every numbered claim on this page links back to one of these.
One missed call can be one lost job. The cost of missing it is almost always higher than the cost of preventing it.
Every missed call gets a text back, so you never lose a lead in silence. When you can't pick up, the customer receives a message and the conversation stays open.
Available for both UK and Republic of Ireland numbers.
ยฃ61 for SMS, or ยฃ82/month with WhatsApp included too โ your choice.
*ยฃ42 (โโฌ49) one-off setup fee applies for WhatsApp.
This is a live demo number set up for Missed Call Text Back. Call it, and you'll get an automatic reply back (could take up to a few minutes).
In the Republic of Ireland, only WhatsApp is currently available โ not SMS. In the UK, both SMS and WhatsApp are available.
Here's how it actually works: we purchase a virtual number for you, which you display wherever you list your contact details. When customers ring that number, it's automatically forwarded through to your actual phone. If you can't pick up, the caller receives an automatic text reply. As standard, this is SMS โ but for extra protection, you can also include WhatsApp.
Your virtual number only sends messages out, as standard. Customers can't text back to it. Two-way texting can be set up upon request. This may be relevant if you are also interested in using our CRM to track and follow up leads.
Whenever someone calls to enquire about your services, the single biggest factor in whether a lead turns into a customer isn't how good your pitch is โ it's how fast you respond. See Speed To Lead on the CRM page.
When someone calls your business and you can't answer โ because you're busy, closed, or already with another customer โ most people don't call back. That means lost enquiries and lost revenue, even for good businesses.
They ring your business number as normal.
You're busy, closed, or already with someone else.
A message in your own words goes out instantly, by SMS or WhatsApp โ no app, no delay.
Most callers simply hang up rather than leave a message, then call the next business on the list. A text sent the moment you miss a call keeps that conversation alive.
If you're a plumber in Ireland, you're probably charging around โฌ2,000 to install a boiler. Just one extra job a month pays for this service many, many times over.
If you're a restaurant owner, just one large table booking will also cover this multiple times over.
If you're a car body worker, just one extra respray job could make you thousands of extra euro a month.
A professional website that loads fast and looks the part.
A website that works hard for your business: fast, professional, and built to be found. Let new customers know what you're about and what you do, and turn their visits into enquiries. Standard packages start from ยฃ299 (โ โฌ349).
Either you don't have one, or you have one that isn't pulling its weight. Both cost you the same thing: customers who found somebody else instead.
A site that's hard to find, slow to load, or doesn't make it obvious how to get in touch is easy to scroll past โ the whole point is conversion: turning the person who found you into someone who actually reaches out.
A slow or dated website doesn't just look bad โ people actually leave before it finishes loading, and Google factors page speed into how you rank. A fast, mobile-first build isn't a nice-to-have, it's the baseline for people to even see what you offer.

Not just a website โ one built to actually perform.
Built lean so people see your site in a couple of seconds, not left waiting around and clicking away before it even appears.

Whether it's a phone, tablet, or laptop, the site reshapes itself to fit properly โ no zooming in, no squashed text.
Simple, clear navigation, so people find what they came for instead of hunting around for it.

Your genuine Google reviews displayed directly on your website, so visitors see real social proof without leaving the page.

On-page SEO is built into every site as standard. For off-page foundations โ Google Search Console setup, Google Business Profile optimisation, and manual directory submissions โ see Foundational SEO below โ. For ongoing reputation management, see the Reputation Management page.
Getting your website live is just the starting point. This makes sure Google can actually find it, understand what it's about, and start showing it to people searching for what you do โ done once, done properly, so you're not invisible from day one.
Connects your site directly to Google so every page gets found and indexed as quickly as possible.
We connect your site to Google Search Console and submit every page directly to Google for indexing. This is what allows your site to start appearing when someone searches for the services you offer. The keywords already built into your pages can only do their job once Google has read and indexed them โ this is what makes that happen.
Even after submission, Google typically takes a few days to a couple of weeks to fully crawl and index your pages โ this is standard. Search Console setup starts that clock immediately, rather than leaving it to chance.
The listing that puts you on Google Maps and at the top of local search results โ the single biggest factor in being found locally.
A complete, fully optimised profile tells Google exactly where you are, what you do, and that you're a legitimate active business. We set it up properly: business name, address, phone number, website, opening hours, services, and photos โ all consistent and complete. Most local businesses either don't have one or have one that's half-finished. That's the gap this closes.
Gets your business listed consistently across key online directories, building the trust signals Google uses to rank local businesses.
Google cross-references your business details across the web to confirm you're real and trustworthy. We manually submit your business to the key online directories relevant to your market โ in Ireland, for example, this includes Golden Pages, Yelp, Hotfrog, Cylex, and irishbusinesses.ie; in the UK, the key ones are Yell, Thomson Local, FreeIndex and Yelp UK. Inconsistencies between listings โ even something small like an old phone number โ can quietly drag your rankings down. This makes sure everything lines up.
Foundational SEO covers the most fundamental aspects of being found online โ a one-off setup that gives your site a proper start. If you want to build on that further, our Reputation Management service takes it from there โ a streamlined review request system and your online presence kept active month after month.
Not required to get your site built โ but if you'd rather not think about it again once it's live, this covers it for you.
The padlock stays valid every month with no lapses, and your domain and site are watched for anything that looks wrong โ not a one-off setup, an ongoing check.
Every version of your site is safely kept, so anything can be rolled back rather than rebuilt from scratch.
Uptime is actively watched โ if the site ever goes down, we know before a customer has to tell you.
Small, reasonable updates can be included each month โ a text edit, price change, or photo swap. If you need more frequent changes or something bigger, just let us know and we'll agree a simple rate together.
Simple to use. Priced for local business, not enterprises.
Every lead tracked from first contact to closed deal, so nothing falls through the cracks. Run your entire sales process in one place โ simple to use, and priced for local business.
Every lead sits in exactly one stage at all times. Drag it forward as things progress โ nothing gets forgotten because it's sitting in an inbox or a notebook instead of the pipeline.
A new enquiry comes in from your website or a phone call. It lands automatically as a "New Lead" card โ no manual typing required for form submissions. You call them, and drag the card to "Contacted." They ask for a quote, so it moves to "Needs Assessment," then "Proposal Sent" once you've sent it. A stale-lead reminder can be set up so you're prompted to follow up if you haven't heard back in a few days, so no lead just quietly goes cold because you got busy.
You're not handed a blank system and left to configure it. The pipeline stages and structure are set up for how a local business actually sells, with guidance and support provided by us โ you start using it on day one.
Most leads aren't lost because the product or price was wrong โ they're lost because nobody followed up in time, or at all. A pipeline you can actually see is the difference between a lead going cold and a lead becoming a customer.

Competitor prices reflect the realistic tier a small business actually ends up needing for proper automation and workflows โ not the cheapest entry-level plan, which is typically too feature-limited for real use. Figures are approximate as of 2026, converted from USD; always check each provider's site for current pricing.
The Total Realistic Cost row stacks several separate approximations on top of each other (currency conversion, realistic-tier judgment calls, third-party add-on estimates) โ treat it as a rough guide for comparison, not an exact figure.
On the "Additional Costs" row above: SMS/calling is the only genuinely required extra cost found in this comparison โ HubSpot, Salesforce, and Pipedrive all run fine as CRMs without it, since it's optional for them, not something you need day to day. Monday.com is the exception, with no native calling or texting at all โ worth knowing specifically if that's a feature you need, since none of the others force the extra cost the way Monday.com does.
HubSpot, Salesforce, and Pipedrive are built for sales teams with complex, multi-stage deals. You're a tradesperson or small local business โ you don't need that depth, and you shouldn't have to pay for it. What you do need is the core stuff that actually runs a business day to day, and Nexus CRM covers every bit of it.

Where the big names genuinely pull ahead: deep customisation for large sales teams, extensive third-party app marketplaces, and enterprise-grade reporting for hundreds of users. That's real, and if you're running a big sales operation, one of those tools is the right call. But if you're a plumber, an electrician, a salon, or a small local business โ that depth just isn't something you'll ever touch. You need the essentials to actually work, without paying enterprise prices for enterprise complexity you'll never use.

One pipeline doesn't fit every business. A barber's journey is simple โ lead, booked, done. Staff can see customer details, appointment times and any notes the customer added on the desktop system, and can check booking information through the mobile app. Different services and different staff can use separate calendars, set up around your dealership.
Screenshots of the booking system from the business's point of view.
No two dealerships run the same way, so the system is set up to match yours. Here are three common set-ups.
One owner or salesperson handles appointments such as test drives, valuations and vehicle collections.
Appointments can be shared out among available salespeople, with staff-specific availability, Round Robin scheduling and conflict checking.
Sales and workshop appointments can be organised separately, with the right staff assigned to MOTs, servicing, tyre fitting and vehicle health checks.
The core features, set up around your business.
One central booking interface for multiple services, plus individual service booking links when you need them.
Each service has its own duration, so a 30-minute valuation and a 60-minute service are booked correctly.
Ask for the details you need up front, such as name, contact details or vehicle registration.
Automatic booking confirmations and automatic appointment reminders.
Staff availability and working hours, so customers only see times you can actually do.
Booking notice periods, so nobody books a slot with five minutes' warning if you don't want them to.
Cancellation and rescheduling rules that suit how you work.
Calendar conflict checking, plus Google or Outlook calendar synchronisation where configured.
Customers can book from their phone as easily as from a computer.
A branded booking page can be connected to your existing website, built into a new one, or used on its own. See the three options below.
Direct booking links and QR codes you can use in messages, on social media or on printed material.
Time can be reserved either side of an appointment. See the example below.
Which one suits you depends on whether you already have a website.
A branded booking page is connected to the website you already have.
A new website is built with the booking system included from the start.
A branded booking page that works through a direct link, which you can use in messages, on social media or as a QR code. No website is needed.
For businesses with more complex needs, a more advanced set-up may include:
Which of these are available to you depends on your requirements, how the software is configured and any integrations needed. We'll tell you what's possible for your business before anything is set up.
The same underlying technology can be adapted to different services, staff arrangements and booking requirements.
Test drives, valuations, finance consultations and collections.
Services, MOTs, tyre fitting and health checks.
Appointments by service and by stylist.
Treatments of different lengths with the right practitioner.
Consultations and meetings booked straight into your diary.
Quotes, call-outs and site visits.
Lessons and sessions with set lengths and availability.
Viewings and valuations.
Consultations, inductions and personal training sessions.
And other appointment-based businesses. If your customers book a time with you, a booking system can probably be set up for it. Tell us how you work and we'll say honestly whether it's a good fit.
An appointment booking system is not a replacement for specialist hotel, restaurant or stock-based reservation software.
Six steps from first conversation to a working booking system.
We learn what your business needs from a booking system.
We set up your services, staff, availability and booking rules.
The booking page is connected to your existing website, built into a new website, or set up as a standalone branded page with its own direct link.
We set up notifications and any relevant calendar integrations.
Testing covers both sides: the customer's booking experience, and how appointments appear and are managed on your side.
Your staff get access and basic training, the system is handed over, and ongoing technical support is available when you need it.
